1. Booking & Confirmation

A booking is confirmed upon receipt of a deposit payment (typically 30% of total tour cost) and written confirmation from Trek Gorilla Tours. The balance is due 60 days before the tour start date. Bookings made within 60 days of travel require full payment at time of booking.

2. Gorilla Trekking Permits

Gorilla trekking permits are non-refundable and non-transferable once purchased from Rwanda Development Board (RDB) or Uganda Wildlife Authority (UWA). Permit costs are quoted separately and in addition to tour costs unless explicitly stated as included. Trek Gorilla Tours will make every effort to secure permits on your preferred dates but availability cannot be guaranteed.

3. Cancellation Policy — By Client

  • 90+ days before departure: Full refund of deposit, minus gorilla permit costs and bank transfer fees.
  • 60–89 days before departure: 50% refund of tour cost (excluding permits).
  • 30–59 days before departure: 25% refund of tour cost (excluding permits).
  • Less than 30 days: No refund. We strongly recommend comprehensive travel insurance.

4. Cancellation by Trek Gorilla Tours

In the unlikely event that Trek Gorilla Tours must cancel a tour (e.g. force majeure, park closure, civil unrest), we will offer a full refund of all payments made, or the option to reschedule at no additional cost. We are not liable for additional costs incurred (flights, visas, etc.).

5. Travel Insurance

Comprehensive travel insurance is mandatory for all Trek Gorilla Tours bookings. Insurance must cover gorilla trekking, medical treatment, emergency evacuation, trip cancellation, and personal belongings. Proof of insurance may be requested before departure.

6. Health Requirements

Clients must be in good health to participate in gorilla trekking. Anyone showing symptoms of illness (cold, flu, respiratory infection, diarrhoea) on trek day will not be permitted to trek, to protect gorilla health. No refund is given in this circumstance — this is why travel insurance is mandatory. Minimum age for gorilla trekking is 15 years.

7. Park Rules & Client Responsibility

All clients must comply strictly with national park rules during gorilla trekking (7-metre minimum distance, no flash photography, 1-hour maximum, no food near gorillas). Trek Gorilla Tours and its guides have authority to enforce these rules. Any client who seriously violates park rules may be removed from the trek without refund.

8. Liability

Trek Gorilla Tours acts as an agent for accommodation, transport, and permit services. We are not liable for acts of nature, government actions, or circumstances beyond our control. Our liability is limited to the total amount paid for the tour.
